Turning a Last-Minute Venue Challenge into a Stunning Gala Experience

In June 2024, Amazing DMC Iceland supported an international corporate group of approximately 40 guests visiting Reykjavík. The client wanted to host a “wow” gala dinner experience as part of their program, creating a memorable evening that would celebrate their time in Iceland.

Because the request came with limited lead time, many of the most suitable venues for a small gala were already fully booked. Rather than compromising on the experience, Amazing DMC Iceland approached the challenge with a creative solution.

The Challenge

The client wanted to host a memorable gala evening to conclude their program in Iceland. Ideally, this would have taken place in one of Reykjavík’s boutique venues suitable for small gala dinners.

However, because the request came with short lead time, the most suitable venues for a group of 40 guests were already booked.

Rather than settling for a standard restaurant setting, the goal remained the same: to create a distinctive and unforgettable gala experience.

Thinking Outside the Box

Instead of focusing only on traditional event venues, Amazing DMC Iceland explored more unconventional locations that could deliver a truly unique atmosphere.

The solution was the remarkable Whales of Iceland, one of the largest whale museums in Europe.

The museum is typically used for large-scale events and can host groups of up to 300 guests. At first glance, the space appeared far too large for a group of just 40 participants.

However, this presented an opportunity to create something truly special.

Transforming the Space

Through thoughtful event design and layout planning, the large venue was transformed into an intimate and elegant gala setting.

Tables were carefully positioned to create a warm and inviting dining atmosphere within the dramatic exhibition space, surrounded by life-sized whale models suspended above the guests.

Lighting, décor, and styling helped reshape the large hall into a setting that felt both exclusive and immersive, blending Iceland’s maritime storytelling with a refined gala dinner experience.

The result was a venue that felt both grand and intimate at the same time.

Guests enjoyed an evening unlike any traditional gala dinner—dining beneath the giants of the ocean while celebrating their time in Iceland.
